Refund Policy

The following Refund Policy governs the terms under which payments made to the Film Diplomacy Conference (FDC) may be refunded. By registering for FDC or submitting any fees via our official platform or authorized partners, you agree to the conditions outlined below.
1. Application Fee

A non-refundable application fee of $9.99 is charged per individual at the time of application.

This fee covers administrative processing and is non-refundable under all circumstances, including rejection, withdrawal, or technical errors on the part of the applicant.
2. Participation Fee
If you are selected as one of the official 120 delegates:

A participation/confirmation fee must be paid within 72 hours of receiving the acceptance email.

This fee secures your place at the conference and is used for organizing venue access, delegate materials, film challenge logistics, and security arrangements.
3. Refund Eligibility for Participation Fee
Refunds are limited and granted under the following strict conditions:
a. Withdrawal Requests

If a selected delegate withdraws within 7 calendar days of payment, a 50% refund may be issued, subject to an official written request and review.

No refund requests will be accepted after this 7-day period.
b. Visa Denial (International Applicants Only)

If a participant fails to obtain a visa, they must:

Provide official visa rejection documentation from the consulate/embassy.
-
Submit a refund request via email within 5 days of the rejection notice.

Upon verification, 50% of the participation fee may be refunded.

Visa-related refunds are not applicable if the applicant delayed the visa process or failed to follow consular instructions.
c. Force Majeure

FDC reserves the right to postpone or cancel the event in cases of natural disasters, government-imposed restrictions, pandemics, or other uncontrollable events ("force majeure").

In such scenarios, full or partial refunds may be granted based on the circumstances and timing of the cancellation. Administrative and processing fees may still be deducted.
4. Non-Refundable Circumstances
No refunds will be issued under the following circumstances:

Participant fails to attend the event without prior notice.

Participant is denied entry to the venue due to non-compliance with FDC rules or legal violations.

Late payment of participation fee (after the 72-hour deadline).
-
Failure to provide required documentation (e.g., ID, travel documents, consent forms).

Violation of code of conduct before or during the event.
5. Refund Process

All approved refunds will be processed via the original method of payment within 21 business days of approval.

FDC is not liable for any bank transfer charges, currency conversion losses, or delays caused by third-party platforms.
